Logistics / Administrative Assistant - Haradh(National Position)  Norwegian Refugee Council   The Norwegian Refugee Council (NRC) is a non-governmental, humanitarian organization with 60 years of experience in helping to create a safer and more dignified life for refugees and internally displaced people. NRC advocates for the rights of displaced populations and offers assistance within the shelter, education, emergency food security, legal assistance, and water,sanitation and hygiene sectors.  The Norwegian Refugee Council has approximately 3500 committed and competent employees involved in projects across four continents. In addition, NRC runs one of the world’s largest standby rosters -NORCAP, with 650 professionals, ready to be deployed on 72 hours notice when a crisis occurs    The Norwegian Refugee Council (NRC) is an International NGO with regional competence and expertise in working with displaced populations. The Regional Office is based in Nairobi, Kenya with offices and operations in Somalia (Puntland, Somaliland and Mogadishu), Kenya (Dadaab, Kakuma and Molo), Ethiopia (Addis Ababa, Dolo Ado, Shire and Asosa) and Yemen (Sana’a ,Aden and Haradh ).  The main aim of the position is to provide logistics, procurement and administrative assistance for program activities in Haradh Sub-Office .  Please note: Due to the high number of applications we receive, we will not be able to respond to or process applications that are not submitted formally through our on- line application system for vacancies (WebCruiter).   Job description •    Ensure all processes are followed for receiving staff, guests and visitors from other NRC offices. •    Maintain an appropriate filing, retrieval and archiving system for the Office administration section. •    Ensure that the telephone bills, electricity and water bills are paid on time for the office, guest house and other compounds in collaboration with the finance team. •    Ensure that the office stationary and supplies are order on time. •    Ensure that the guest house supplies are order on time. •    Assist in the management and usage of telephone, fax, and other communication facilities in the office and guest house. •    Ensure order and cleanliness of the office and guest house compounds. •    Arrange for staff and visitors visas, flight bookings, transport and accommodations •    Arrange for conferences and workshops . •    Provide secretarial support such as typing, takings minutes, drafting letters, and translation of English or Arabic documents etc. •    Supervise the cleaners and cook of NRC office/guesthouse in Haradh. •    Register all incoming requisitions and update status report on procurement for inclusion and circulation in the status report. •    Liaise with suppliers to ensure prompt and accurate delivery of goods, services and equipment. •    Receive all supplies delivered to the Haradh and ensure that they are in good condition together with correct Delivery Notes, Invoices and export documents. •    Assist in preparation of documentation for bids committee meetings. •    Maintain proper files of requisitions, quotations and purchase orders. •    Prepare transport documentation accompanying dispatches such as packing lists, waybills and loading details to accompany shipment. •    Prepare and communicate shipping details to field offices. •    Prepare periodic procurement/shipping updates and circulate to the NRC field operations. •    Manage inventory control/procurement of consumables and office supplies at Haradh and ensure available stock in office store . •    Update the Mission Assets inventory for Haradh offices and guest/staff houses and generate periodic reports. •    Assist in following up on exemption of duties and taxes from relevant government authorities. •    Organize for the dispatch of goods and equipment whenever required and verify the packing list, waybills and export documentation .   Qualifications •    National Diploma in Logistics , Business Administration related discipline or any related training. •    National Certificate level in Purchasing and Supplies preferred additional training. •    At least 3 years relevant experience.   Personal qualities •    Able to work under pressure and for extended working hours. •    Good oral and written communication skills. •    Good cultural awareness and sensitivity. •    Team player. •    Proactive and reliable. •    Presentable, friendly and patient. •    Ability to plan and coordinate. •    Ability to work under pressure and meet deadlines. •    Basic Computer skills in MS Office Word and Excel, and Internet. •    Excellent inter personal and communication skills. •    High level of integrity. •    Excellent attention to detail. •    Organized and a good planner. •    Significant understanding of complex emergencies. •    Understanding of various donors requirements . •    Excellent working knowledge in Microsoft Office, computer spreadsheet and Internet.     We offer •    Commencement: As soon as possible •    Contract period: 1 Year •    Duty Station: Haradh •    Salary/Benefits: According to NRC's general directions   Application Process Please click here to apply for this job on NRC's job portal NOTE: Applications for this job are not through Yemen HR website.
