CARE International is currently seeking Knowledge Management Assistant to join the country office Program Team in order to provide support to CARE Yemen in all areas related to knowledge management and information and data collection and analysis. This position also provides overall program assistance support as requested. Duties: The Knowledge Management Assistant is a member of the DM&E team and assists the program team by developing methodology and guidance documents in knowledge management; facilitating training and information exchange internally within CARE and externally; and assisting CARE Yemen in maintaining and preserving its program knowledge. Under the supervision of the DM&E Coordinator, the Knowledge Management Assistant prepares and processes information and data, and supports the design of data collection tools. H/She plays a key role in acquiring, validating and analysing data received from a range of sources and creating various communication material (including maintaining the website information). The Knowledge Management Assistant also provides support to the Grants Officer in key areas of CARE’s financial management system and overall program assistance as requested by the ACD-P. Responsibilities: Developing and maintaining CARE Yemen’s documentation system and program information on the website
• Collect, verify, maintain data and information on CARE’s server in compliance with CARE and donor policies.
• Develop and update CARE Yemen’s data management policy.
• Coordinate with and train CARE staff in developing and sharing the knowledge management system.
• Ensure that staff within the CO and field offices have access to needed information on a regular basis.
• Maintain the CARE website program information (in coordination with IT) so that communication is up-to-date and relevant to reflect CARE’s programmes. Data collection and communication • Regularly monitor projects/programs as requested by the DME Coordinator to track performance against plans and for organizational learning.
• Record relevant information and inform the Country Office and relevant Program (and other) staff of the findings in timely manner.
• Support the CO with data collection to reflect CARE’s work, validation, and write-up of progress reports as requested.
• Communicate with internal and external stakeholders and create relevant communication material for CARE (newsletter, factsheet, etc.) as agreed by the supervisor and Assistant Country Director- Programs.
• Maintain a database on partnerships/consultants for key bids.
• Prepare information as requested by CARE U.S, CIs, RMU, etc. in cooperation with project managers, ensuring accuracy and consistency.
• Participate in project/program evaluations as requested. Accountability Mechanism
• Assists in the development of the data collection tools for CARE’s new accountability mechanism.
• Train staff and stakeholders on CARE’s accountability mechanism and tools.
• Adjust the system on the basis of the pilot-test and learning/reflection.
• Receives all feedback/complaints as per the Accountability Mechanism and is committed to acknowledging all feedback and complaints received within 2 days from receipt and respond to the complaint in line of the CARE policy.
• Works closely with at least one other staff member knowledgeable of the feedback/complaint area to undertake the investigation and gather sufficient detail about the case and document the process and follows policy in response.
Program Department Assistance • Provide administrative support as necessary and as requested by the Assistant Country Director- Programs.
• Assist in the development of proposals as requested, including data collection, capacity statements, past performance write-ups, etc.
• Provide support to project start-ups (particularly on set-up, baselines, data gathering, etc.) as requested by the Assistant Country Director, Programs.
• Provide support and help coordinate the visits and meetings of external consultants, CI members, donors and any other visitors to the program.
• Communicate with the Shared Services Centre in coordination with Grants on budget uploads and revisions.
• Provide Arabic to English and English to Arabic translation of documents and documentation at meetings.
• Perform other tasks as requested by the DM&E or the Assistant Country Director-Programs. Qualifications: • 2-3 years of experience in related field including data analysis, research and processing. University degree in Economics/Business/Information Management or related field.
• Training in related field such as statistics an advantage.
• Working knowledge of information collection tools and methodologies, with a particular focus on data analysis and the ability to develop and apply methods and tools for knowledge capturing, preservation and sharing.
• Good analytical and problem solving skills.
• Fluent Arabic and strong English language written and communication skills including editing;
• Ability to work under pressure;
