Job Purpose •    The Administrative Assistant shall undertake the secretarial work of the Department &               arrange appointments and meetings for Managers. •    Receiving and transferring phone calls, typing, distribution, filing of correspondence, reports and facsimiles, as well as receiving guests.   Key Accountabilities/Job Descriptions       1.  Undertaking    work    assignments    from Managers. 2.  Keeping   and   arranging   for   visits   and meetings. 3.  Responding  properly  to  and  transferring the phone calls, according to the nature of the calls. 4.  Receiving guests, providing hospitality and introducing    them    to    the    Managers, according to the agenda. 5.  Typing    correspondence    and    reports reviewing them before presentation. 6.  Distributing    the    correspondence    and reports  among   the   concerned   entities, after being approved by the Managers and according to the instructions. 7.  Typing  and  sending  the  facsimiles,  after checking the number of the addressee. 8.  Receiving   and   classifying   the   incoming correspondence and presenting to him or the  concerned parties, and then carrying out    their   instructions   related   thereto. 9.  Following  up  the  implementation  of  the Managers written  instructions  related  to the correspondence and creating a special register to follow up such instructions, and advise him regularly with the results of his instructions   and   the   actions   taken   to achieve them.     10.Classifying and filing the originals or copies of all correspondence sent or received to facilitate easy retrieval.     11.Maintaining  a  register  for  incoming  and outgoing correspondence of all types.     12.Preparing   invitations   for   meetings   as determined    by    the        Managers    and distributing the meeting agenda to the participants    before    commencing     the meeting,   and   then   following   up   the attendance  to  ensure  that  the  meetings shall be held on lime.     13.Requesting   and   maintaining   the   office supplies  and  printing  materials  required for the Manager’s Office and his assistants.     14.Carrying out  any supplementary work to the  job   duties,   without   exceeding   the limits of his authorities.       Job Context •    A suitable university degree. •    Minimum of eight years experience in administrative work, with at least three years as an office  manager or executive secretary to a chairman or the General Manager in a large industrial or commercial company. •    Fluent English, with a second foreign language being deemed an additional advantage that shall be taken into consideration. •    Good command of using computer and facsimile machine, E-mail, internet. •    Presentable, courteous, tactful, and capable of making effective work relation.   Application Process: If you meet the requirements, and interested in this job, please send your  applications to the following e mail address : [email protected]  NOTE: Applications for this job are not through Yemen HR website.
