Al-Futtaim Automotive Academy
A first-of-its kind training institution that will provide internationally accredited training in a world class facility that is unique in the UAE automotive industry. The Automotive Academy is an important enabler in Al-Futtaim Automotive Division's objective to be the automotive company of choice through providing value based customer experiences enabled by an empowered and engaged.
We are currently seeking an experienced Events & Facilities Coordinator to manage the general maintenance of the Technical training facility of the Automotive Academy, and ensure upkeep and quality standards. The Events & Facilities Coordinator will also manage venue bookings and catering for the technical facilities; manage the asset registers and logistics as well as ensure safe working practices are observed throughout the facility.
The key responsibilities will include:
Venue Bookings
* Effectively manage the technical facility room booking process with the customers to ensure the effective utilisation of the rooms and services.
Catering
* Co-ordinate with caterers by reviewing menus and ordering the required meals in co-ordination with Training administrators.
Facility Maintenance & Quality Standards
* To manage the maintenance of the Technical Training Facility to ensure all required tools and equipment are available and ready for the smooth running of a training event.
* 5S standards are set and followed, and OHS standards are met
* Responsible for maintenance contracts, renewals and upkeep of work carried out including tools and equipment, as per the contracts.
Assets
* To effectively manage technical facility inventory lists including consumables, maintain the Asset register, and track the logistics of the assets in different training rooms and locations, etc.
* Audit and track technical training tools and equipment, and also track their logistics between the various training venues.
* Ensure requests are made in advance all for all stationery, consumables, etc, with prior approval from the respective training manager, via the Financial Analyst.
Communications
* Coordinate with the relevant business for Certificates, Passports, Magazines, brochures, etc. and effectively update resource library with new material, offers, etc.
Event Management
* Assist in organising the product launches, skills contest, overseas recruitment and brand events for the stakeholders
Room Branding and Setup
* Ensure all the technical training rooms are brand specific when required, and dressed according to the respective brand standards.
* Ensure training room and workshop set up and set down are carried out efficiently with all requirements in place for the training.
AAA Brand Image
* Ensure all technical training material is checked for quality and printed according to AAA and brand standards
Transportation
* Organize transport for AAA technical trainings and events in coordination with Al-Futtaim Logistics
Venue Activity
* To ensure the technical venue activity records are opened and closed with costing for billing purpose.
The ideal candidates will have the following skills and experience:
Minimum Qualifications and Knowledge
* High level of proficiency in Spoken English
* Occupational Health and Safety Qualification (IOSH managing safely) or relevant experience/equivalent
Minimum Experience:
* Customer Facing Role Experience
* Prior experience in technical service centres or workshops
Job-Specific Skills:
* UAE or equivalent Driving Licence (i.e. existing licence can be directly transferred)
* Ability to provide outstanding customer service
* Ability adjust priorities and structure time wisely in a fast paced environment
