Ref: OP155-01 The Head of Administration and Support is responsible for all administration and support aspects of the Group activities in all business units. He is responsible for planning, coordinating, organizing, leading controlling and reporting for the following departments in the Administration and Support Section (HR, IT, Legal, Risk, Accounting, marketing, Maintenance, Purchasing, Logistics, warehousing and civil works)to ensure smooth day to day operations. Reporting the CEO/GM he will also work closely with internal and external counterparties (authorities, ministries, auditors and agencies) to ensure appropriate objectives and priorities are enabled within the Administration and Support departments of the Group. He is responsible in determining the human resources requirements of his department considering qualifications and the over-all needs of the organization. JOB RESPONSIBILITIES: 1. Planning •Responsible for the preparation and presentation of both annual and monthly strategic and operational planning for Administration and Support in coordination with the Group’s business plan. •Responsible of the management of the Administration and Support department for a successful delivery as per objectives and targets set up in the Business Plan and Group’s Strategy. •Responsible for coordinating the specific Administration and Support requirements of all functional departments within the group. 2.Execution •Manage and review Administration and Support functions according to budgets. •Consolidate all business units functions budgets (targets versus actual) and propose potential solutions for cost efficiencies. •Ensure compliance with all statutory and external requirements and regulations and highlight potential risk situation events. •Ensure Finance, IT and HR processes support the effective running of the business activities of the Group. -Monitor the Human Resources function. -Monitor Accounting for accurate and timely delivery of financial, management and other external reporting. -Ensure required IT and security systems respond to the Group activities’ needs. •Review and propose updates/changes for all existing internal policies and procedures to improve company standards and business activities. •Ensure Purchasing, maintenance and logistics processes support the requirements of the business units of the Group -Monitor maintenance execution process against schedules -Monitor purchasing delivery is according to schedules and provides sufficient diversification of suppliers. -Establish proper warehousing control systems to improve stock management. •Monitor Civil works execution against delivery time table to avoid delays in business activities expansion. 3.Undertake other duties as required by CEO/GM. 4.Maintain confidentiality over Group’s activities. 5.Participate to required meeting and committees. MINIMUM QUALIFICATIONS: • Must be a graduate of minimum four (4) years degree. • With at least three (3) to five (5) years experience in the same capacity. • Proven Management and administrative track record. • Staff management experience, high IT literacy and good knowledge of legal, compliance and risk issues.
