The UNOPS Sudan office is based in Khartoum and works closely with the Government of Sudan and international partners to support humanitarian response, recovery and development initiatives. UNOPS is the United Nations sector lead for the Basic Infrastructure Sector in Sudan and helps partners achieve their project goals in sectors including: water resource management, education, census and elections, human resource management and mine action. Background Information - Job-specificThis vacancy is for a full-time internship, and only those who are available on a full- time basis should apply. Interns not receiving any funding through an internship programme, or from a specific institution, will receive a stipend at the end of each month to contribute to the cost of daily expenditures. Aside from this stipend, Interns are to bear responsibility for any expenses they incur as a result of partaking in this internship programme (inclusive of health insurance, travel etc.). Interns must be studying for a university degree such as Bachelor, Masters or Ph.D. (or the equivalent), or have graduated from such studies within three years prior to the application date of the internship. Functional Responsibilities
The intern will work as a member of the UNOPS Sudan Office in Khartoum. He/she will work under the supervision of Project Support Services and will be supporting the office with administrative related tasks.
Specific intern responsibilities will include but are not limited to:
Support effective and efficient functioning of the office/department/unit;
Support administrative and logistical services;
Support office maintenance and assets management;
Ensure effective and efficient functioning of the office/department/unit, focusing on achievement of the following results:
Contacts with visitors and staff, arrangement of appointments and meetings, acting as an interpreter when required and/or taking minutes.
Compilation and preparation of briefing and presentation materials, speeches, background information and documentation for meetings and missions.
Maintenance of hard copy and electronic files, reference materials and confidential records as required
Administrative support to conferences, workshops, retreats.
Support with arrangement of vehicle transportation, regular vehicle maintenance and insurance. Checking and recording of vehicle daily log and gas consumption, update and maintenance of vehicle history report.
Support the office with managing office stationery supplies including maintenance of stock list of stationery, distribution of stationery as required by staff and keeping a log of distribution.
Maintenance of the filing system ensuring safekeeping of confidential materials;
Maintenance of records on assets management, preparation of reports;
Maintenance of files and records relevant to office maintenance;
Perform any other duties;
Education/Experience/Language requirements
All applicants must be studying for a university degree such as Bachelors, Masters or Ph.D. (or equivalent); or have graduated from such studies within three years prior to the application date of the internship;
Area of study should be preferably one of the following: international affairs, business administration, social sciences, economics, human resources, or relevant field;
Fluency and excellent writing and oral skills in English and Arabic required;
Excellent inter-personal and communication skills;
Flexibility and adaptability to work under pressure and meet specific deadlines;
Ability to work in a multicultural environment;
Strong computer literacy: knowledge of MS Office standard programs essential; PeopleSoft/ Atlas an asset;
Some work experience in the field of administration, project management, and/or other related fields highly desirable;
