Our client, a leading law firm and provider of consultancy services is seeking a HR/ Administration Manager (HRM). You will be reporting directly to the General Manager Purpose : The HRM is responsible organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. Primary Responsibilities Scope The HRM reports to the GM and is responsible for maintaining office services and efficiency, supervising office staff and maintaining office records. Primary Duties and Responsibilities: Development of Policies and Procedures : Develop policies and procedures within the Firm to meet the business objectives; To implement approved policy and procedures; To development of staff handbook from implemented policy and procedures; Monitoring compliancy of implemented policy and procedure within the Firm. Dealing with grievances and implementing disciplinary procedures Recruitment of Staff at various levels : Coordinating with agencies to source candidates that meet the requirement of the position; Developing job descriptions for various positions; Preparing job adverts, checking application forms and shortlisting; Coordinating with various resources to acquire potential resumes; Shortlisting and screening potential candidates; Encouraging the employees to provide references; Conducting preliminary interviews and arranging technical tests as the position may require; Communicating to candidates on status of the interview; Arranging for final interview with Superiors and Dept Head as the case may be; Processing offer letter and approving it from Superior. Negotiating packages with prospective candidates to align with budgetary requirements. Carrying out Induction for new staff : On the first day of employee joining the Firm, to ensure that the Employment Letter/Contract is signed and other forms are filled and signed and approved Giving a brief to the new employee on the policy and procedures of the Firm; Introducing the new employee to the team, superiors and Management; Explaining the mode of communication and job description; Coordinating with IT for setting up email id and PC prior to the candidate joining. Monitoring Attendance and Leave : Monitoring daily attendance and tardiness of employees, Processing Leave applications and monitoring leave schedules; Preparing reports monthly on attendance for payroll purposes; Initiating corrective and preventive measures to ensure that no employee is irregular or tardy. Training : Analyzing training needs in conjunction with departmental heads; Developing training programs for various levels of staff; Assisting in Performance Management Assisting to develop performance appraisal systems within the Firm; Assisting the Management during performance appraisal; Maintaining records of all performance appraisal conducted; Communicating to the employee the result of the performance appraisal; Assisting in development of Grading System : Development of grading systems, designation structures, salary and benefits structure, including promotion and benefits; Carrying out Exit Formalities In the event of resignation or termination of an employee to carry out all exit formalities and visa cancellation formalities; Maintaining Personnel Files & Records : Ensuring that the personnel files are up-to-date and contain all documents related to the employees employment with the Firm. Carrying out Visas process: Co-ordinate on visa process with PRO’s; Visit Immigration and Labour Department as required; Ensuring timely processing of employee visas. Workforce Management : Counselling staff at various levels as required; Take initiative to engage the employee to their work; Keeping track of employee turnover and exit rate; Plan events or activities on some occasions; Handling grievances between staff to ensure that employees are not dissatisfied with each other; Ensuring no grouping or dissatisfied employee; Other employee related issues; Dealing with staff welfare and administration-centered activities, but also strategy and planning; Interpreting and advising on employment law to Superiors; Issue certificates, letters and memo’s as required; Control Drivers rotas. Day to day activities of the functioning of HR Department within the Firm Advisory Advising management and employees where required on UAE Labour Law sand Amendments Office Management : Maintain office services and efficiency Organize office operations Supervise support teams Maintain and replenish inventory (Stationery and office supplies) Coordinating with various suppliers for stationery and office supplies, and verify receipts of supplies; Update organizational memberships, license renewals; Maintain office records Design and marinating filing systems of staff personal files and GM files Preparing staff contracts, clients contracts etc; For this role, you will be degree qualified in HR. You will have 4 - 5 years experience in a professional services firm, preferably a law firm in the UAE.
