Our client, a reputable wholesale company is currently recruiting for an Secretary Job description: - Direct assistant to the departments’ Manager. - Maintain the direct managers’ meeting schedule and events and alert him. - Provide administrative and clerical support to departments or individuals. - Do the necessary job processes that are related to the department. - Other related assigned tasks by the direct manager Tasks: - Answer the related incoming calls and give necessary information to the callers, take messages, or transfer calls to appropriate individuals. - Do travel and residential reservation as it is advised by the direct manager. - Arrange meetings and do the necessary meeting room booking. - Prepare the minutes of meeting for the direct manager and distribute it. - Handle and manage the petty-cash of the department. - Keep track of daily work of clerical staff. - Prepare the confidential correspondence of the direct manager. - Open incoming mail of the related department and distribute it as necessary. - Arrange all department's documents under proper filing system. - Conduct searches to find out needed information. - Order and dispense supplies. Reporting: - The Secretary reports to the assigned direct manager unless stated different in the employment agreement, as well as it can be modified and changed based on company’s structural change. - The Secretary is eligible to report immediately his/her work activities whenever it is required by his/her direct Manager. Training: - All employees are eligible for induction in the first week of joining work. - All employees are responsible to express their needs of courses/ and training related to their work progress and eligible to take at least one training course related to his working field (refer to training policy). - Person description: - Minimum education requirement is Grade 12 plus secretarial certificate and 3 years of experience in similar position. - Arabic and English languages are core. - Medium computer skills, high MS Office skills are must (Word, Excel, and Power Point). - Excellent communication skills. - Presentable personality. Duty: - Working days: Sunday to Thursday - Working hours: Flexible, 07:30/8:30 to 15:00/1600 straight, one hour break adds one hour to duty end. - Working in holidays might be required, compensated on annual leave. - Emergency calls must be answered.
