Salary AED 8,000-10,000 Our client is an established global professional services organisation based in Dubai, who is looking to recruit a Receptionist to join their team in their fabulous Dubai offices. Job Purpose: To deliver friendly, efficient customer service and to create a warm and welcoming atmosphere for all of our clients. To act as the first point of contact for visitors and callers, to undertake a range of other administrative tasks as identified by the Management. Job Duties: - Greet, assist and direct visitors - Booking taxis - Making reservations - Coordinating drivers’ schedule - Maintains security by following procedures; monitoring logbook; issuing visitor badges - Manage/Operate telephone system; receiving and transferring telephone calls, announcing callers, taking brief messages and passing these on via the email system or connecting callers to staff members personal direct line voicemail. - Manage & Monitor staff time attendance system ‘’Fingertec’’ - Coordinate with couriers - Collect and distribute parcels, documents and other mails - Providing clients the office address, directions and other necessary information - Booking conference rooms and offices - Ordering catering for office - Provide office supplies (Stationery & kitchen supplies) for staff and maintain adequate stocks; task includes ordering new supplies, identifying new suppliers and obtaining the best price - Maintains safe and clean conference rooms and reception area by complying with procedures, rules, and regulations - Helping staff and Office Manager when requested - Contributes to team effort by accomplishing related results as needed - Provide administrative and general support to the staff and management as required Criteria: - Intermediate to advanced level on Microsoft Office - Computer literate, with keyboard skills and experience of word-processing, (Microsoft Word) combined with ability to acquire other skills as necessary (e.g. databases and spreadsheets) - Excellent organizational skills - Excellent verbal communication skills with a good telephone manner - Must possess a professional telephone manner/ previous experience of switchboard operation - Familiarity with the use of office equipment i.e. faxes photocopiers etc. - Ability to implement admin systems and databases - Must possess a warm, friendly and professional demeanor - At least 1 years’ experience of working within an office environment and front of house - Ability to work on own initiative and take responsibility where necessary and to work as part of a team Desirable requirements - Experience of working in a multi-cultural environment Person Specification - Customer focus - Be friendly, smiley, sociable and welcoming to our clients, to create a great atmosphere - Remain calm, patient and polite, if receiving customer feedback - Be helpful and go out of your way to help our customers Drive - Be confident and self-motivated - Demonstrate a passionate commitment to the business - Welcome and embrace change, with a positive attitude - Be able to work unsupervised in a busy environment - Be able to prioritize duties Personal integrity - Be honest and reliable - Be trustworthy and respectful - Be immaculately dressed - Maintain excellent time-keeping and attendance - Be professional at all times Team work - Always be a good team player - Build and maintain good relationships with all team members - Work together with the team to ensure that the office is the best it can be - Be willing to take on jobs to balance the team workload - Be able to communicate well with people of all levels - Must reside in the UAE Unfortunately due to the high volume of candidate applications only the successful candidates will be contacted.
