CARE International is currently seeking an Administrative Officer for the INGO Safety Advisory Office (ISAO) to provide safety and security support to International Non-Governmental Organizations (INGO) working in development and relief in Yemen.  INGO Safety Advisory Office (ISAO)  Position: Administrative Officer Location: Sana’a Project brief: The INGO Safety Advisory Office (ISAO) is an organisation dedicated to providing safety and security information to the INGO community for the safety of their staff, programs and assets. ISAO is a collaborative security initiative, which encourages INGOs to share information on safety or security issues that may have an impact on the wider INGO community. Duties: The administration officer post is intended to support ISAO’s internal administration and logistics needs through the support to the primary office in Sana’a and the sub-office in Aden. As ISAO is hosted by CARE, it is envisaged that the post holder will liaise extensively with CARE’s administration, finance, HR and logistics departments to assist ISAO in the smooth delivery of operational services while maintaining reporting commitments to CARE. Responsibilities Handling Petty Cash& utilizing internal purchase requisition order •    Receive payment orders and prepare payment orders to be approved and disbursed to suppliers •    Keep up-to-date information on staff health insurance benefits •    Make orders and payments for office expenses (water, drinking water electricity, taxi, stationary, etc.) •    Maintain check log sheet •    Enter purchase and requisition orders into an internal system Provide support to Office Supplies and Equipment •    Liaise with the IT consultant and ensure work is completed on a timely and accurate basis, and that the equipment is properly maintained •    Liaise with supply companies for the maintenance of other office equipment, such as telephone system, fax machine and photocopier •    Keep and up-to-date record of officer and project inventory (property registered) •    Maintain vendor approved list files and responsible for vendor data update and changes. ISAO Staff Travel Coordination and Logistical Support •    Make travel bookings (for costs less than $400 – airfare, accommodation, vehicle hire, hotels and payments) •    Maintain records and file log sheets for CARE vehicles Typing/ photocopying documents and reports •    Typing documents, data entry (including security incidents) when required. •    Photocopying and binding documents as required •    Organizing workshops training events as required. •    Ensure a clean and efficient working area and ensure a co-operative and supportive working environment Qualifications and Skills Required •    Diploma in Business Administration or equivalent level of experience •    Experience in handling office administration •    Experience in filing and safeguarding important documents •    Experience to manage and reconcile petty cash •    Proficiency in Microsoft Office applications •    Native Arabic speaking ability and advanced English language skills  Application Process Interested applicants should send a cover letter and CV (English) by October 24, 2013 to [email protected]  with the subject heading ‘ISAO Administrative Officer ’.
