Duty Station : IOM – Sana’a Position’s Grade : Upon Qualification and Experience Title of Position : Civil Society Unit Assistant Terms of Reference General functions: Under the overall supervision of the Civil Society Coordinator, and the direct supervision of the Project Development Assistant, the incumbent will assist with the general functioning of the Civil Society Coordination Unit. The incumbent’s duties will include but will not be limited to the following: 1. Serve as liaison support to track all relevant supporting documents from Project Development Assistants (PDAs) both at Program Office in Sana’a and the sub-offices to the Grant Unit, and provide support to the Program Office in Sana’a and sub-offices in particular with the collection of necessary data/documents; 2. Contact PDAs both at Program Office in Sana’a and the sub-offices on a daily basis to collect necessary information and relay results to Civil Society Unit in a clear and detailed way; 3. Follow up on all requests from the PDAs to ensure timely receipt of needed documents/data; 4. Coordinate closely with the Grant Unit to monitor missing documents, and follow up on status of pending documents; 5. Coordinate closely with Logistics Unit and Admin/Finance Unit to clarify status of documents; 6. Translate documents, information, data from the PDAs as necessary when requested by members of the Civil Society Unit; 7. In coordination with PDAs, translate and track success stories, delays, and implementation progress updates for all ongoing activities of the Civil Society Unit; 8. Track photos incoming from the PDAs and gather all necessary details to enable the Civil Society Unit to label the photos; 9. Undergo field travel as needed to support field offices; 10. Perform such other duties as may be assigned by supervisors. Required Qualification and competencies 1 BA degree, with at least two year of professional experience in logistic / procurement. 2 Personal commitment, drive for results, efficiency, flexibility, respect for diversity; 3 Must be able to work under pressure and should be willing to work overtime and on weekends when required; 4 Must be able to travel in the field; 5 Good level of computer literacy; 6 Fluent in Arabic and English.
